Kenjya-Trusant is seeking a candidate to fill the role of Administrative Assistant to coordinate logistics to meet the needs the Bureau of the Western Hemisphere Affairs, Executive Office, Administrative Branch, General Services Office (GSO).  
 
Duties, Tasks and Responsibilities:
  • Provide support to resource management, travel arrangement and escort services. The primary focus of this requirement is to collaborate with WHA staff in requesting travel, in accordance to the rules and regulations outlined within the Department’s travel policy. 
  • Process bureau service requests in a timely manner, including but not limited to: telephone requests, TWD reports, office moves, labor/lock services, BNET drops, inventory requests and Blackberry management.
  • Assist with the bureaus yearly reconciliation process. Scanning inventory equipment by locations.  Researching   prior year documents looking for missing property, using location and disposal reports.  Inspecting new equipment, adding barcodes and entering equipment into the NEPA system.
  • Possesses a solid knowledge of laws, 14FAM and 14 FAM 124.5 and 12 FAM and 12 FAM 344.
  • General Services is responsible for procuring non-expendable supplies for bureau employee.  Quality Inspections of incoming equipment and supply shipments to ensure deliveries don’t need corrective actions.
  • Keep abreast of supply items that bureau uses on a regular bases.  Re-ordering and stocking purposes.
  • Also ensuring the departments’ guidelines are met concerning tasks: space management and telephone number validation.
  • WHA requires knowledge of the E2 Solution/Global e-travel system.  Working familiarity and knowledge of the preparation process, completing the vendor forms for new users, and change of duty location procedures are necessary.  Must have knowledge of the travel regulations.
  • WHA requires strong communication skills in order to interact with employees and managers at all levels.
  • Writing and proof reading various GSO reports. 
 
Clearance Requirement - Secret or above
