Job Description:
Kenjya-Trusant is seeking a candidate to fill the role of Administrative Assistant to support the Bureau of European and Eurasian Affairs, Office of Public Diplomacy (EUR/PD).  This position is responsible for performance of a variety of technical, advisory, liaison and coordinating duties that support the overall administrative functions of the EUR/PD office.
 
The Administrative Assistant supports the Office Director, Deputy Directors and desk officer staff with administrative matters concerning arranging travel through e2 Solutions, serve as the main point of contact for procurement through GSO, maintain the office security schedule, assist incoming personnel with check-in procedures and departing personnel with check-out procedures, and serve as a back-up time-keeper.
Duties, Tasks and Responsibilities:
  • Arranges travel for personnel in accordance with travel requirements and regulations, assuring that all travel authorizations and vouchers are properly processed.  Ensure that all visa and travel requirements are met.
  • Serve as the EUR/PD Security Officer, ensuring that office personnel are properly trained in and adhere to appropriate security practices. Evaluate procedures and recommend corrective actions as necessary. Coordinate with other security officers to ensure contingency plans, develop alternate meeting locations, plan drills, etc.
  • Track and maintains funds available for expenditure in various accounts including travel and representational funds.
  • Work closely with the Budget Office to ensure that funds for specific projects are disbursed in a timely manner and recorded appropriately.
  • Assist new employees and assist /sponsor newcomers. Assure that proper orientation and checking in process is completed and that workstations are ready; prepare welcome information; maintain arrival/departure lists;
  • Prepare paperwork for rotational and detailed assignment, including necessary MOUs.
  • Maintain office files on the shared drive and share point.
  • Assist with processing visitors and guests including program participants of the International Visitors Leadership Program (IVLP)
  • Support the Transatlantic Diplomatic Fellowship (TDF) program, arranging security clearances and computer access. Assist with TDF official graduation ceremony and official meeting with State Department Senior officials.
 
Required Experience:
  • Knowledge of the substantive programs of the bureau as they relate to the administrative functions
  • Microsoft Office Suite
  • Operation of standard office equipment
 
Minimum Education - High School
Clearance Requirement – SECRET
Citizenship – U.S. required
